Inventory Management

Complete guide to adding products, managing stock, and organizing your inventory

Quick Access

📍 Location: Access inventory at /inventory

Adding Products

Manual Product Entry

  1. Go to /inventory
  2. Click "Add Product" button
  3. Fill in required fields:
    • SKU: Unique product identifier (auto-generated if blank)
    • Title: Product name
    • Price: Selling price
    • Stock Level: Current quantity in inventory
    • Category: Product classification
  4. Optional fields:
    • Description: Product details
    • UPC/EAN: Barcode numbers for scanning
    • Cost: Purchase price (for profit margin tracking)
    • Reorder Point: Low stock alert threshold
    • Image: Product photo (JPG, PNG, WebP)
  5. Click "Save Product"

Bulk Import via CSV

  1. Go to /inventory/import
  2. Download CSV template
  3. Fill in your products (Excel or Google Sheets):
    • One product per row
    • Include column headers (sku, title, price, stockLevel, etc.)
    • Save as .csv file
  4. Upload CSV file
  5. Review preview and fix any errors
  6. Click "Import Products"

⚠️ Tip: SKU must be unique. If importing products with existing SKUs, they will be updated instead of creating duplicates.

Product Identifiers & Barcodes

Point Plus POS supports multiple product identifiers for flexible inventory tracking:

SKU

Stock Keeping Unit - Your internal product code (e.g., SHIRT-BLU-L)

UPC

Universal Product Code - 12-digit barcode (North America standard)

EAN

European Article Number - 13-digit barcode (International standard)

ISBN

International Standard Book Number - For books and publications

GTIN

Global Trade Item Number - Universal identifier for products

MPN

Manufacturer Part Number - Vendor's official product code

Printing Barcode Labels

  1. Go to /inventory/print-labels
  2. Select products to print
  3. Choose label format:
    • Standard: Barcode + product name + price
    • Compact: Barcode only (shelf labels)
    • Detailed: Includes SKU, description, category
  4. Select printer (thermal or standard)
  5. Click "Print Labels"

Product Variants

Variants allow you to track different versions of the same product (e.g., colors, sizes, materials).

Creating Variants

  1. Edit an existing product
  2. Scroll to "Product Variants" section
  3. Click "Add Variant"
  4. Define options:
    • Color: Red, Blue, Green, etc.
    • Size: Small, Medium, Large, XL, etc.
    • Material: Cotton, Polyester, Leather, etc.
    • Style: Slim Fit, Regular, Relaxed, etc.
  5. Set variant-specific pricing and stock
  6. Assign unique SKU to each variant
  7. Save changes

Example: T-Shirt Variants

Base Product: Classic T-Shirt

Variant 1: Red / Small - SKU: TSHIRT-RED-S - $19.99 - Stock: 12
Variant 2: Red / Medium - SKU: TSHIRT-RED-M - $19.99 - Stock: 25
Variant 3: Blue / Large - SKU: TSHIRT-BLU-L - $19.99 - Stock: 8
Variant 4: Blue / XL - SKU: TSHIRT-BLU-XL - $21.99 - Stock: 15

Categories & Organization

Point Plus POS uses industry-specific categories to organize your inventory.

Creating Custom Categories

  1. Go to /inventory
  2. Click "Manage Categories"
  3. Click "Add Category"
  4. Enter category name and select industry type
  5. Optionally create subcategories (e.g., Pool Supplies → Chemicals → Chlorine)
  6. Save category

Hierarchical Categories

Categories support parent/child relationships for better organization:
Example: Electronics → Computers → Laptops → Gaming Laptops

Stock Management

Automatic Stock Updates

Stock levels automatically update when:

  • ✅ POS sale completed (decreases stock)
  • ✅ Online order placed (decreases online allocation)
  • ✅ Refund processed (increases stock)
  • ✅ Purchase order received (increases stock)
  • ✅ Manual adjustment made (+ or - stock)

Manual Stock Adjustments

  1. Find product in inventory list
  2. Click "Adjust Stock" button
  3. Choose adjustment type:
    • Receive: Add stock (new shipment, found inventory)
    • Remove: Subtract stock (damaged, theft, spoilage)
    • Set: Override to specific quantity (physical count)
  4. Enter quantity and reason
  5. Save adjustment

Low Stock Alerts

Set reorder points for automatic low stock notifications:

  1. Edit product
  2. Set "Reorder Point" (e.g., 10 units)
  3. When stock falls below this level, product appears in "Low Stock" report
  4. Optional: Enable email alerts at /merchant/settings

POS & Online Store Sync

Point Plus POS automatically syncs inventory between your in-store POS and online store in real-time.

Sync Modes

🔗 Unified Stock

Same inventory pool for POS and online. Best for small shops with limited stock.

📊 Reserve Percentage

Allocate a percentage of POS stock to online (e.g., 30% online, 70% in-store).

🔀 Separate Stock

Independent inventory levels for POS and online. Best for warehouses or multi-location.
